Cancellation Policy
Cancellations must be emailed to ipc7@allevents.co.za.
Up to 90 days before arrival: Full refund (less 15% charges)
89 - 60 days before arrival: Full refund (less 50% charges)
Less than 60 days: No refund
Non-payment does not count as cancellation
Attendees must cancel their own travel.
Early Registration Fee
Pay by 31 August 2026 to qualify.
A 7-day grace period applies for invoices issued on 31 August 2026. Late payments will be updated to the Standard Rate.
Payment
Registration is confirmed only after full payment is received.
All bank charges are the attendee’s responsibility.
Badges & Substitutions
Badges are personal and non-transferable.
Substitutions are allowed only with approval before the Congress start date.
Badges must be worn at all times.
Programme & Force Majeure
The programme may change without notice.
Payments are non-refundable after the cancellation cut-off, including for illness or events beyond our control.
Currency Disclaimer
Any gain or loss due to currency conversion is the attendee’s responsibility.
Insurance and Liability
Insurance
Congress participants are responsible for obtaining appropriate insurance coverage for their attendance, including personal health, travel, and property insurance.
The Congress organisers, hosts, and any individuals associated with the Congress shall not be liable for any loss, damage, or injury to personal property, delegates, or sponsors.
Liability
Neither the Congress Committee, hosts, nor the Event Management company accept liability for death, injury, loss, or expenses incurred by any person arising from acts, defaults, or omissions of any individual.
This includes, but is not limited to, losses resulting from the provision or non-provision of services by local companies or transport operators.
The Congress Committee, hosts, and Event Management company are not liable for losses caused by war, threat of war, riots, civil unrest, terrorism, natural disasters, adverse weather, fire, flood, drought, technical, mechanical or electrical failures at any venue, industrial disputes, governmental actions or regulations, or technical problems affecting services related to the Congress.
No warranty is given that any particular speaker or panelist will appear as scheduled.
Right of Admission
The organisers reserve the right of admission to the Congress.
Abstract Guidelines
All Abstract Submissions must be in English. English is the official congress language and all presentations must also be in English.
Abstracts should be submitted via the online submission system only; abstracts submitted by email will not be reviewed.
All abstracts submitted online will be reviewed by the Scientific Programme Committee.
Abstracts must be received by the announced deadline.
Abstracts received after the deadline will not be considered.
All abstracts must be submitted and presented in clear English with accurate grammar and spelling of a quality suitable for publication.
No corrections can be made to an already submitted abstract. Please save as a draft to make edits and ensure to submit afterwards. Please note that draft submissions are not submitted unless you complete the submission, and draft submissions will not be reviewed.
The presenting author is required to ensure that all co-authors are aware of the content of the abstract.
There can only be one presenting author; the rest must be co-authors.
After your abstract submission, you will be sent an automatic e-mail confirming your successful submission.
Original abstracts are recommended.

Submission Guidelines
Presentation Type
Oral (Oral presentations will be asked to present an oral presentation at the congress including a PowerPoint presentation and Q&A with the audience)
Poster (Please be available at your poster during poster sessions. Posters should be printed A0 size and portrait)
Maximum abstract submissions permitted: 2 per submitter.
Abstract Title
Each word should begin with a capital letter except transition words. Submission titles must not be longer than 20 words and must indicate the nature of the presentation.
Abstract Body
Submissions must not exceed 300 words, be clear and concise and highlight relevant aspects, findings and conclusions.
Only standard abbreviations may be used within submissions.
References are not required for submissions.
The abstract title, section headings and references are not included in the overall word count.
Abstract Structure
Please structure your abstract using the following headings:
Background / Purpose: Background or statement of purpose
Methods: Methods, materials and analytical procedure used
Results: Summary of the results in sufficient detail to support conclusion (we do not recommend including “results will be discussed”)
Conclusion: Conclusions reached
